Examples of the type of projects undertaken are:
- UK Automobile Manufacturing Plant - In late 2005 In-Form initially carried out a relatively short Health Check assignment including discussions with various departments and the Business sponsor, to provide a perspective on information management and to relate the company’s situation to others, and to give an early indication of high priority areas for attention.
Following the Health Check, In-Form was engaged again to produce a information strategy paper and outline programme.
Before suppliers were involved, In-Form developed detailed requirements including as-is and to-be outline business processes for selected areas. From their knowledge of the industry, In-Form also drew up a short list of potential suppliers for consideration.
A detailed proposal of how the project would be undertaken, including selection of the EDRM systems and the method of implementation including cultural and training requirements. IFC axsited in a significant user change management programe and in the validation through pilot ‘proof of concept’ projects. - Development of formal EDRM Strategy embracing document, records and content management for the Houses of Parliament. The challenge was to develop a pragmatic approach to EDRM, including the identification and evaluation of potential pilot projects. It also included development of an Outline Project Plan for implementation and an EDRM Business Case encompassing both Houses of Parliament.
- Developed a detailed Gap Analysis & Cost Benefit Analysis, assessing the status of EDRM-related technologies for a County Council and the requirements for meeting FOI and other statutory needs including the Electronic Social Care Record.
- Assessed the capability of an in-house developed EDM system based on Lotus Notes and provided advice and guidance on how it could be used more effectively. Recommendations were also made on enhancements to the existing system that would improve users acceptance and ease of use.
- The project entailed the development of a formal Information Management and EDRM Strategy embracing document, records and content management for a further and higher educations institute: The institute needed a more efficient and integrated information management strategy to support the development of their mission statement and improve their internal operations. In-Form helped develop the strategy and assessed their current operational management of filing, both electronically and paper together with the core business processes. This then led to the development of a business case for deploying EDRMS and Statement of Requirements for the procurement of a solution.
- A project involving the strategic analysis of document and records management requirements for a large Scottish Local Authority, conducting an analysis in each department of the information management needs and opportunities. The deliverables forming the project were a detailed Business Case and Cost Benefit Analysis, costed across a range of options, and a draft Statement of Requirements for an integrated document and records management solution meeting PRO guidelines and functional requirements.
- Assisted a Government department in implementing an Electronic Records Management System (ERMS). In order to get best value out of the system and to ensure user buy-in, the system needed to be appropriately configured. In-Form provided a report addresses four key areas prior to the implementation of the ERMS: File plan, Metadata, Security, Business Rules in relation to electronic messaging. Additionally the report made recommendations on other implementation issues that needed to be addressed
- Assisted a leading Mortgage lender improve their underwriting procedures by advising on the best approach to implement workflow and forms data capture technologies
- Assisted a Housing Association to analyse their current business processes and document management requirements and draft a report making recommendations on improvements to the board
- Project managed the creation of an electronic archive for a national communication group for customer contract files including the selection of the service organisation and equipment
- Consultancy study for a UK leading Investment Management group to review current Document Management initiatives to provide an electronic Document Management archive for reports and case folders
- A strategy study to comment on a UK Energy Group's Document Management initiatives
- Assisted an American bank in developing marketing strategy for selling insurance products through their branches, identifying major market and methods of communicating with the main markets
- The client is an operating subsidiary of a multi-national O&G company developing offshore oil fields on behalf of a country with expanding oil assets.
Initial Projects phase is staffed largely by experienced oil personnel (permanent and contract) with an increasing transfer of roles and skills to indigenous personnel who will operate the asset through its lifetime (25+ years).
As with any such development, a large volume of technical documents has been produced by contractors which need to be assured and managed in line with EPISTLE - European Process Industries Data Handover Guide - and ISO 15926. This specification is targeted specifically at handover. The EDRM project objective led by a IFC senior consultant is to maintain that level of integrity of technical documents through long-term Operations, and to implement similar standards of integrity across non-technical documentation - financial and commercial, HR, HSE etc - in order to meet safety, operational efficiency and legal obligations.
The EDRM project identified that EDRM systems were well established, but implementation was largely local resulting in the use of multiple document repositories, inconsistent levels of training and expertise, and fileplans that had become obsolete through lack of maintenance.
The recommended solution was
to institute formal document management procedures
to rebuild the corporate fileplan
rationalise the use of existing document repositories
to establish a programme of induction and ongoing training in document management
to categorise the many document types in active useThe objective is to work towards a cohesive approach to document lifecycle across the organisation
